Using the Waitlist
Overview
The waitlist keeps track of clients who want an appointment but couldn't get the time they wanted, so you can offer them the next opening as soon as one appears. Open it from the Waitlist icon in the calendar's toolbar — a pink badge shows how many people are currently waiting.
Adding someone to the waitlist
Quick add: in the waitlist panel, tap +, choose how they reached you (Walk-in, Phone, or Manual), and enter their name, phone number, and any notes.
Full add, with preferences: from a booking form, choose Save to Waitlist instead of saving normally. This captures the specific services they want, their preferred staff member for each service, their preferred date and time, and notes — everything needed to match them to the right opening later.
Managing the list
Each entry shows how the client reached you, their name, a running wait-time indicator (turns orange after 30 minutes and red after 60), their phone number, the services they're interested in, preferred dates and times, and an expiry date. Walk-in entries also show an estimated wait time. Filter the list by status — All, Waiting, Booked, Cancelled, or Expired.
Converting an entry to a booking
Tap an entry to open a new appointment pre-filled with that customer's details, finish it, and save as usual. The waitlist entry updates to Booked and links to the new appointment, with a confirmation summarizing their total time waited.
Cancelling an entry
Tap the red X next to an entry. If they haven't been booked yet, you'll get a simple confirmation. If the entry is already linked to a booking, cancelling it cancels that appointment too, so you'll see a clearer warning before confirming.
Waitlist settings
Configure the waitlist per branch:
Enable Waitlist turns the whole feature on or off.
Online Waitlist lets customers join your waitlist themselves from your online booking page when no slots are available.
Confirmation Notification sends clients a notification automatically when they're added.
Default Expiry (Days) (7 by default) controls how long a regular entry stays active before it expires.
Walk-in Expiry (Hours) (12 by default) does the same for same-day walk-in entries.
Max Active Entries (50 by default) caps how many people can be on the list at once.
