Adding & Editing a Client
Overview
Tap New Customer from the client list (or Add a new customer profile as a quick action) to open the client form. The same form is used to edit an existing client — just open their profile and tap Edit.
Fields
In order:
Name — required.
Nickname — an internal reference for your staff; it's never shown to the customer.
Email Address — optional.
Phone Number — required, with a country-code picker.
Phone number is same as WhatsApp number — checked by default. Uncheck it if the client uses a different number for WhatsApp, and a separate WhatsApp number field appears.
Three toggles:
- Block online booking — stops this client from booking online; they'll instead see a message asking them to call you. - WhatsApp notifications — on by default. - Email notifications — on by default.
Date of Birth — optional.
Tags — type to add a new tag or pick from existing ones; each tag appears as a removable chip.
Additional details — an expandable section where you can add allergy notes and general notes about the client.
The Save button only becomes active once name and phone number are filled in.
One client, one phone number
WAJ keeps one profile per phone number, so you never end up with duplicate records for the same person. When you save a client:
If the number isn't in use yet, the profile is created normally.
If the number already belongs to another client, WAJ stops you with a message that the phone number is already associated with an existing customer — you can't create a new profile with it. Your only option is Select Existing Customer, which takes you to that client's profile instead.
If you're simply editing a client and keeping their own existing number, saving works as expected.
Because there's currently no way to merge two client profiles together, it's worth double-checking a phone number before creating a new profile — if a customer already exists, add to their existing record rather than starting a new one.
Deleting a client
From a client's profile, you can delete their record (permission required). WAJ asks you to confirm before removing them — the client is deactivated rather than permanently erased, so their history stays intact behind the scenes.
Notes & limitations
There is no merge feature — duplicate profiles for the same person cannot be combined after the fact.
Deleting a client is a soft delete (deactivation); their booking, sales, and balance history remain intact.
